Where can you migrate from?

Feasibility depends on export access and data quality. The audit identifies available formats before any commitment.

Excel, CSV and Word

Patient files, appointment lists, document templates and structured history.

Legacy local software

CSV, Excel, SQL or other exports supplied by the previous vendor or accessible to the practice.

SaaS or cloud solution

Exports available from another application, subject to the practice’s rights and available formats.

PDF files or scans

Document migration may be possible after review; structured extraction can require additional work.

Multiple practices

Data may be consolidated by practice, doctor or team after duplicate and separation-rule validation.

Partial migration

The practice may choose active patients, future appointments or a defined historical period only.

A five-step process

The target is to complete most migrations in under three months. Actual timing depends on volume, formats, duplicates, attachments and team availability.

Audit and inventory

Identify sources, volumes, fields, attachments, duplicates, confidentiality constraints and priority data. The migration scope is agreed with the practice.

Extraction and secure copy

The practice supplies authorized exports. A working copy is prepared without modifying the original source. Temporary access is limited to migration personnel.

Cleansing and mapping

Normalize dates, phone numbers, identifiers, medicines and categories. Mapping rules are documented and anomalies are reported.

checks import and validation

A validation environment lets the practice validate a sample and then the complete agreed scope before cutover.

Cutover and support

After written validation, the final import is scheduled. The team receives training and enhanced support during stabilization.

Realistic commitment: “under 3 months” is a project target, not a universal guarantee. Closed proprietary databases, incomplete exports or exceptional volumes may require a specific schedule.
